The walkthrough

Load the sample data (once)
The system starts empty— it's your system, not a pre-filled brochure. Sign in as
admin@example.com, open Settings → Demo tools and hit ⤓ Import sample data: five staff and three pay periods, dated up to last week. Press it again any time to start over.2
Sign in as Alice (a staff member)
Use
alice@example.com. She has a draft timesheet for the pay period that just finished — the same layout as your current LABOUR TIMESHEET.3
Fill in the hours
Each row is a day: Start and Finish — the Total Hrs works itself out (0700 → 1730 = 10.5). The day name fills in from the date. Try “⚡ Fill every day of the period” to lay out the whole fortnight in one click, then adjust. Enter a silly value (say a 20-hour day) and watch the policy rules flag it immediately.

Create yourself an account — this is the email demo
Sign in as
admin@example.com and go to People → + Add person. Put in your own real email address, give yourself the role Supervisor, and create it.Check your inbox: an invitation arrives and you choose the password — nobody, including the administrator who created the account, ever sets or sees it. That is the real account-opening flow, not a demo shortcut.

Make yourself Alice's approver, and have her submit
Still on People, open the Approvers drop-down on Alice's row and tick yourself. Then sign in as
alice@example.com, open her timesheet, choose your name in “Send for approval to” and hit Submit for approval.A person can have several approvers and picks one per timesheet — which supervisor signs your hours follows the job, not the org chart. The others can still approve it if that one is away.

Check your inbox — approve from your phone
You'll get an email with a secure, single-use link. Open it on your phone, tap Review & approve, sign in with the password you just chose, then Approve. You have approved as yourself, as a real supervisor account.
If it's not there in a minute, check spam/promotions.

Made a mistake? Withdraw it to edit
Sign in as
ben@example.com, open his submitted timesheet and hit ↩ Withdraw to edit. It leaves the approver's queue, goes back to a draft you can change, and any approval already given is cleared.Why not just edit it in place? Because an approval has to mean something. Nothing can change under an approver's nose — the withdrawal is recorded, and the corrected sheet gets approved again.

Sign in as Finance for the final sign-off
Sign out, then sign in as
terence@example.com. Open Approvals— the timesheet is now waiting for the second approval. Approve it. That's the two-step maker-checker: nobody pushes a pay run alone.9
See everyone's hours — and export what you tick
Still as Finance, open Timesheets. Every submitted timesheet, day by day: name · date · start · finish · hours · type — no work descriptions in the way. Filter by pay period, employee or status, tick the ones you want and hit ⬇ Export Excel (or CSV).
A supervisor sees this too, for their own team. Drafts never appear — an unsubmitted sheet stays private to the person writing it.

One timesheet, laid out like your paper form
Open any single timesheet and hit ⬇ Excel — it comes out in the same layout as the sheet you use today, with the digital approvals recorded where the signatures used to go. The payroll file(approved hours, one pay period) is the separate button — that's the one that feeds the pay run.

Tidy up: delete or void
On Timesheets, tick a few and delete them in one go. Staff can delete their own drafts; an admin can void an already-approved sheet with a reason. Deleted sheets drop out of every list, summary and export — but the record is kept for the audit trail, because payroll data should never just vanish.

See the audit trail
Sign in as
admin@example.com and open Audit — every submission, withdrawal, approval, deletion and export is logged with who did it and when.13
History, next periods and the settings
Back on a staff dashboard you'll see Past periods — earlier fortnights, already approved, kept as a record you can reopen or re-export any time. Hit + New timesheet to start the next one; the job details carry over so nothing is retyped. In Admin → Settings you can change the pay cycle (weekly / fortnightly / monthly) and choose the payroll view: the per-day timesheets (the default) or a rolled-up summary of totals per employee.

About Xero: this demo is not connected to Xero. The payroll file is a CSV of approved hours in our own format — useful, but not a Xero import template. Pushing hours straight into your pay run is a real integration (Xero Payroll AU API), and it needs your pay items mapped and each employee matched to their Xero record. That's scoped as part of the build, not shown here.
A note on the rules: nobody approves their own timesheet, ever. An administrator decides who may approve each person; the worker only chooses which of them signs a given fortnight — enough to follow the job, not enough to pick a soft touch nobody authorised. This demo is the product: there is no special path here that a real deployment does not have.
